PocOff Synergy terms of use and disclaimer
Last updated: 16 October 2026 · Version 3
These terms apply when you use the PocOff Synergy app ("the app"). Please read them, especially sections 3 to 9 and 11 (in bold), which limit the developer's responsibility and place certain risks on you. By tapping I agree in the app, or by using it, you accept these terms.

1. What the app is
PocOff Synergy is a tool that helps a business and its team keep records together: shared clients, quotes, invoices, bookings, company expenses and a company calendar with tasks, plus personal tools such as notes, scans, trip logs and time sheets. It helps you work. It doesn't replace your own checks or professional advice.
2. Accounts and companies
You need an account to use the app. Keep your password private; you are responsible for what is done with your account. A company is created by its owner, who can invite people with a join code and make them admins or members.
- The owner and admins decide who belongs to the company and can remove people. Everyone in a company can see and change its shared records, so invite only people you trust and remove people promptly when they leave.
- The company (not the developer) is responsible for the records it keeps, including its clients' personal information under POPIA, and for having a lawful reason to keep them.
- Records a member creates belong to the company and stay with it when that member leaves.
3. The app is provided "as is"
The app is provided as it is and as available. The developer doesn't promise that it will always work, be available, be free of errors, or suit your particular business. The cloud service may sometimes be unavailable or slow, for example during maintenance or a Google outage. The developer will try to fix reported problems in updates but doesn't guarantee to.
4. Shared records and syncing
Changes made by one person reach the others only when their phones are online, and two people editing the same record at the same time can overwrite each other's changes. Check important records before relying on them. The developer isn't liable for a change, deletion or mistake made by a member of your company.
5. Bookings and double bookings are your responsibility
You are responsible for checking bookings, availability and dates, and for avoiding double bookings. The app's double-booking check only covers bookings entered in the app and already synced. It can miss clashes (for example a booking entered offline, entered wrongly, or kept elsewhere). The developer isn't liable for any double booking, missed booking or the loss that results.
6. Reminders, notifications, tasks and calendar entries may fail
Reminders, notifications, task assignments and calendar entries are a convenience, not a guarantee. They can be late or not appear at all, for example when notifications are switched off, the phone is offline, battery saving or "do not disturb" is on, exact alarms are not allowed, the phone was off or restarted, or the entry was changed or deleted. You remain responsible for meeting your own deadlines, including renewing licences, certificates, insurance and other documents, completing tasks, and following up on payments.
7. Text read from photos may be wrong
The app reads text from photos (slips, odometers, licence discs, certificates and others) on your phone. This can make mistakes, especially with poor light, blur, glare, damage or unusual layouts. Always check every value it fills in (amounts, VAT, dates, expiry dates, registration numbers, VINs and so on) before saving or relying on it.
8. Money, tax and legal matters: not advice
Quotes, invoices, tax/VAT calculations, totals, expense records, budgets, time sheets and reports are only as correct as what is entered and the settings you choose. Check them yourself, and with your accountant or tax practitioner where needed. Nothing in the app is financial, tax, accounting or legal advice. You're responsible for meeting your obligations to SARS and anyone else, including keeping the records the law requires. Tax rates and the tax year filled in when you pick a country are standard defaults; check them for your business. Outside South Africa, payroll doesn't work out income tax or other statutory deductions for you.
Face matching at clock-in can be wrong (poor light, a hard hat, a mask, a similar-looking person). A warning that a face didn't match isn't proof that someone clocked in for another person, and no match isn't proof they didn't; a manager should look at the photos before acting on it.
9. Your data and backups
Keep your own copies of records you are required to keep. Company records are stored in the cloud (see the privacy policy), but the developer doesn't promise they can always be recovered after a mistake, deletion by a member, or the end of a subscription. Personal tools keep their data only on your phone: you are responsible for backing it up (Settings > Export backup).
10. Company plan, free trial and cancelling
PocOff Synergy is sold as a monthly company plan, bought through Google Play by the company's owner for the whole team. South African prices (prices elsewhere are shown in Google Play):
Plan Users Payroll employees Price a month Starter 1 5 R149.99 Team 2 2 25 R299.99 Team 3 3 50 R449.99 Team 5 5 100 R749.99 Team 10 10 200 R1,349.99 (10% off) Team 20 20 300 R2,549.99 (15% off) Team 50 50 500 R5,999.99 (20% off) Payroll add-on (with a Team plan) +50 R499.00 Users are the people who sign in to the company (any role). Payroll employees are active employees on the payroll; workers who only clock in on a shared site tablet don't need to be users. The app won't let a company go over its plan's numbers; the owner can move to a bigger plan at any time.
Every new company gets its first month free, counted from the day it is created, with nothing to buy and no card needed. To keep creating new records after that, the owner buys a plan; Google Play then charges its monthly price and renews it every month until cancelled. Moving to a bigger plan applies at once (Google Play charges the difference for the rest of the month); a smaller plan applies from the next renewal.
The owner cancels at any time in the Google Play Store app (Profile > Payments and subscriptions > Subscriptions). The team keeps access until the end of the month paid for. Payments and refunds are handled by Google Play under its terms, together with your rights under the law.
If the plan ends, everyone can still view and export the records they can see, but creating new records needs an active plan. If a company has had no active plan for 90 days, the developer may delete its shared records, after warning the owner by email.
The developer may change the prices or plans with at least 30 days' notice, given through Google Play and in the app. The owner can cancel before the new price applies.
11. Limitation of liability
To the maximum extent the law allows:
- the developer is not liable for any indirect, special or consequential loss, including loss of income, profit, bookings, business, data or goodwill, however it arises; and
- the developer's total liability to you for any claim connected with the app is limited to the plan fees your company paid in the 3 months before the claim arose, or R149.99 if it paid nothing.
This doesn't exclude liability that can't lawfully be excluded, such as liability for gross negligence or wilful misconduct.
12. Your rights under the Consumer Protection Act
Nothing in these terms limits or removes any right you have under the Consumer Protection Act 68 of 2008, the Protection of Personal Information Act 4 of 2013, or any other law, that can't lawfully be limited or removed. If any part of these terms is found invalid, the rest still applies.
13. Fair use
Don't use the app for anything unlawful, to store information you have no right to keep, or to try to reach another company's records. Don't copy, resell or reverse engineer the app except as the law allows. The developer may suspend an account or company that breaks these terms, after notice where practical.
14. Deleting your account
You can delete your account in the app (people icon on Home > Delete account) or by emailing the developer. If you own a company, its shared records are deleted with it; the app warns you first. Deleting your account doesn't cancel your Google Play subscription; cancel that in the Play Store app. See the privacy policy for details.
15. Changes to these terms
The terms may be updated. If a change is significant, the app will ask you to accept the new version. The latest version is always available in the app (Settings > Terms of use) and at the published address.
16. Law and disputes
These terms are governed by the law of the Republic of South Africa. Please contact the developer first at the address above so the matter can be resolved informally. This doesn't affect your right to approach the National Consumer Commission, the Information Regulator, a consumer court or any other forum the law gives you.
